EDITING FILES
Note: When first accessing myCMS you should use Internet Explorer and always ensure that the Pop-up blocker (Under Tools) is turned off. Editing a DCR for the first time you will be asked whether you wish to download and install the Visual Format Editor. Click yes and allow the installation of the text editor to continue. If you experience any problems with this installation please see Rad Flossman.
DATA CAPTURE RECORD (DCR)
DCR or Data Capture Record
This is the file that contains the information of your web page and is the file that you edit. The CMS program uses this DCR to create the html page. The DCR resides under the templatedata directory.
General Content Pages pages can be found under:
templatedata >> MySite >> ContentPage >> data >> [school folders]
Staff Pages are SubContent Pages and are found under
Templatedata >> MySite >> SubContentPage >> data >> school >> staff >> [staff folders]
Research Staff Pages are located under :

Note: Research Students do not have access to myCMS. These pages can be edited and updated by their academic supervisors.
DCR Features
- Save: Save the DCR within templatedata
- Save As: Save the DCR under a different name (should not be used)
- Save & Close: Save the DCR and close the window
- Preview: Preview the html file created from the changed DCR
- Close: Close the window

DCR Content
- Page Title: This is the name that appears on the top in the browser title
- Description: A description of the page that a search engine [google] would display
- Keywords: Anticipated words that someone may use to locate your page.
- Navigation menu 1: What Top Navigation include file to select for the page [Staff]
- Breadcrumbs: What Breadcrumb navigation include file to specify
- Left navigation: What Left navigation include file to specify
- Quicklinks Menu: What Quicklinks to specify [there are no quicklinks developed for Staff Pages]
- Section Header: Page heading title - for Staff pages this is the Name of the staff member owning the page. On other BEES pages this section is left blank and the Page Heading is imported from the navigation files. If you wish this title to be changed please email Rad Flossman.
- Graphic: Allows you to select a graphic and specify location on the page: left, center or right aligned.
ADDING CONTENT IN THE DCR
Feature: Click on the

button. A Dialog box displays the following elements:
- Plain text: Used for body text on a page. The font size and style are controlled by the myCMS style sheet and cannot be changed.
- Section Header: For paragraph/section sub-headers
- Bullet list: Adds bullet lists
- Horizontal line: To add a line and visually segment the page area. The line style and width cannot be changed.
- Graphic: To add picture to a page. Graphics can only be added to a page after they have been imported into the images folder. The graphics for the Site should all reside in the Images Directory. See Importing Files and Images into myCMS.
- Data table: To enter a table with a heading and cell borders. Screen readers will read each cell heading before reading cell data, good for larger information tables e.g. timetables.
- Layout table: Enters a table with no cell borders
This special design element will give you the ability to use a word-style editor to enhance page layout and allows content authors to use advanced editing features such as hyperlinks, and text formatting such as Bold, Italics and Underline at the click of a button. The Visual Formatter also allows you to directly edit HTML code by clicking the 'Code View' button in the toolbar.
Click either of the above elements. Text can be pasted in from a Word document, images added and links created as you wish. If using Plain Text, formatting or links can be added using the following code:
- External links have the form [ [http://www.somewebsite.com||Link text] ]
- Internal links have the form [ [/school/staff/myfolder/mypage.html||Link text] ]
- Email links have the form [ [mailto:fred@bees.unsw.edu.au||Link text] ]
- Bold items have the form [ [bold||text that is bold] ]
Click on the

button to the right of Feature to add another element (termed Replicant).
To add, remove or rearrange the Feature Boxes in the Data Capture Record use the

buttons
A Layout Table gives the most flexibility in formatting text and is the option used for the majority of BEES pages. For information on using Layout Tables, please see
Using the Visual Formatter.
Note: The myCMS program will strip unwanted tags and may change the way your page eventually displays.
PREVIEWING PAGES
Before you submit a page for approval you should preview the page to ensure that the page looks appropriate in html as opposed to the template. You will have to Save changes before previewing a document.
To preview a page Click on the Preview button in the Data Capture template. This will bring up a browser so that you can see your changes in a real world environment. If you're happy with the changes you may send the file for approval. Otherwise close the browser window and continue further editing.
Note: Each time you select Preview it will open a new browser window so if you use this feature a number of time you will end up with multiple open browser windows.
ADDING NEW PAGES
If you need to add additional pages to your directory, for instances new research projects, send an email to
R.Flossman

unsw.edu.au requesting the addition plus:
- page title - what web address the page should have.
(Note: all pages titles have to have a unique name)
- what pages will link to it.
